Information we collect from you
We only obtain data from you for which you have given consent and do not use implicit data or data collected from third parties.
We will never sell or rent your information to third parties and will never share your Information with third parties for marketing purposes.
This includes technical information, such as IP address, browser type and version, time zone setting, operating system and platform, URL clickstream to, through and from our site (including date & time), pages you viewed or searched for and page interaction information. This data is collected by Google Analytics and Facebook Pixel. KMC Southampton has no access to any identifiable information from this data.
Images may be captured during events organised and hosted by KMC Southampton. By entering our Centre and by your presence at our events, you consent to be photographed and/or filmed and to any use of the material produced. This material may be featured on social media, our website, event publicity, brochures, etc. If you do not consent, please let our volunteer photographer know at the event. KMC Southampton acknowledges its responsibilities in capturing images by photography or other means under applicable law.
How long we keep your information
Your information will be retained for a period of 6 years plus the current year, for statutory record keeping purposes. After this time, unless we have a legal obligation to retain it for longer, your personal information will be deleted or, where data is required for statistical purposes, anonymised.
Your information, used only for our own marketing purposes, will be kept until you notify us that you no longer wish to receive this information.
How we use your information
We only collect the information we need to administer our business, provide customer service, communicate services that may be of interest to you and fulfil your requirements.
We may also collect non-personally identifiable information from you when you visit the Site (e.g. your IP address, browser type, domain name, etc.). This information is collected and analysed in the aggregate in order to improve the function and content of the Site.
We use the information that is collected about you for a variety of internal purposes, such as confirming and fulfilling your requests, adding you to our email subscription list, analysing trends and statistics, enhancing the operation of the Site, serving content and sending informational and promotional materials about KMC Southampton because it is in our legitimate interest to do so.

How we store and manage your information
We take reasonable steps to ensure that the personal information we collect about you remains accurate, timely and secure. When you give us personal information, we take steps to ensure that it is treated securely. Any information is encrypted and protected with encryption on SSL. When you are on a secure page, a lock icon will appear at the top of web browsers.
Newsletter sign up
As part of the sign up process to our mailing list, we collect personal information. We use that information for a couple of reasons: to tell you about stuff you’ve asked us to tell you about; to contact you if we need to obtain or provide additional information; to check our records are right and to check every now and then that you’re happy and satisfied. We don’t rent or trade email lists with other organisations and businesses.
You can unsubscribe from our mailing list at any time of the day or night by clicking the unsubscribe link at the bottom of any of our emails, or by contacting our data protection officer using our online contact form.

Who on our team has access
Centre Managers and trusted volunteers have access to the information you provide us. For example, Centre Managers can access:
- Order information, such as what was purchased, when it was purchased and where it should be sent.
- Customer information, such as name, email address and billing information.
Our team members have access to this information to help fulfil orders, process refunds and support you.
What you can do
If you are not satisfied with how we have dealt with your query, you may raise a complaint with the Information Commissioner’s Office.
